The Benefits Coordinator will support comprehensive benefits program administration that ensures seamless employee experience, maintains regulatory compliance, and enhances overall workforce satisfaction for attorneys and professional staff. This role will report to the Senior Benefits Manager – U.S. and will collaborate with various teams and vendors, as well as firm leadership to develop and execute strategic benefits initiatives and employee support services. The ideal candidate will demonstrate exceptional interpersonal abilities, superior communication skills, and outstanding organizational capabilities with meticulous attention to detail, while bringing extensive knowledge of benefits processes, the highest degree of discretion, and proven experience in professional services or legal environments.

Responsibilities

  • Assist in the onboarding process of lawyers and professional staff and ongoing enrollment activities, including preparation of new hire materials, coordination of annual open enrollment periods, management of qualifying life events, and ongoing enrollment activities
  • Assist with Workday data entry related to benefit plan enrollments for new hires, terminations, changes, beneficiary designations, insurance carrier web portals; provide support for system upgrades and benefit platform integrations
  • Maintain and update content for Benefits information for new hires, onboarding guides, and the firm’s Intranet site as needed
  • Communicates regularly with employees and answers questions regarding benefits, enrollments, changes, terminations, special circumstances, problem resolution, and compliance issues. Heavy telephone contact with Partners, employees and program vendors
  • Tracks and maintains COBRA participants with third-party vendor, ensuring compliance and accurate participant tracking
  • Tracks and maintains incoming disability EFT payments
  • Maintain participant eligibility records and process plan changes within various benefit plans and vendor websites
  • Review, verify, and process vendor invoices for benefits programs, ensuring accuracy and timely submission to Accounting; collaborate with vendors and internal teams to investigate and resolve discrepancies.
  • Provide flexible support with the Benefits team across New York, California, and Washington D.C. offices for special projects and daily operational needs as required

 

Qualifications

  • Bachelor’s degree required
  • 2+ years of experience in benefits administration, law firm experience a plus
  • Excellent verbal and written communication skills
  • Exceptional organizational skills with keen attention to detail and accuracy
  • Strong interpersonal skills with professional demeanor and positive attitude
  • Ability to handle confidential/sensitive information in a tactful and diplomatic manner
  • Strong problem-solving skills with sound judgment that aligns with organizational standards, policies, procedures, and regulatory compliance requirements
  • Self-motivated professional who proactively identifies challenges and takes decisive action to overcome obstacles
  • Ability to adapt readily to change; high tolerance for ambiguity and high degree of flexibility in a fast paced environment
  • Sound analytical skills and a willingness to look at data in different ways in multiple iterations – must be able to think analytically and reality check others’ work
  • Effective team collaborator while maintaining the ability to work autonomously and deliver results independently
  • High proficiency in Microsoft Word and Excel is required; familiarity with Workday strongly preferred

 

The estimated base salary for this position is $70,000 to $80,000 at the time of posting. The actual salary offered will depend on a variety of job-related factors, including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location, and performance. This role is non-exempt meaning it is overtime pay eligible.
