The Practice Assistant plays a key role in supporting the operational excellence of the firm by delivering exceptional administrative and client service support. This position provides high-quality assistance to the Client Concierge team, Legal Executive Assistants (LEAs), and other administrative groups, ensuring a seamless experience for clients, guests, and staff.

Responsibilities

Administrative Support:

  • Provide general administrative assistance to the Client Concierge team, LEAs, and other departments as needed.
  • Create, format, edit, and proofread documents in Word, Excel, and PowerPoint.
  • Manage Outlook tasks including calendar scheduling, meeting coordination, email filing, and contact updates.
  • Enter and maintain records in business development platform, including business development activities and contact information.
  • Coordinate domestic and international travel through the travel management company.
  • Prepare and submit AMEX expense reports through the expense reimbursement system.
  • Enter, proofread, and finalize diary entries and other documentation.

 

Client & Guest Services:

  • Greet and assist firm clients and guests professionally, offering information and guidance.
  • Manage inbound calls to the main office line or reception desk; forward calls as necessary.
  • Coordinate conference room reservations, confirm AV/tech requirements, and ensure meeting readiness.
  • Arrange building access for clients and guests; monitor reception area cleanliness and report facility issues.
  • Anticipate guest needs and provide proactive, high-quality service.
  • Assist with meeting coordination, including hospitality and catering arrangements.

 

Operational Collaboration:

  • Work closely with cross-functional operational teams within a pooled support structure to execute administrative workflows such as diary entry, expense processing, conference booking, absence memos, and related tasks.
  • Deliver accurate, timely, and complete information using appropriate systems and tools.
  • Foster strong relationships with colleagues and clients through responsive and professional communication.
  • Perform other duties as assigned.

Qualifications

  • Prior administrative, receptionist, or office assistant experience in a professional environment (law firm experience is a plus).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational, communication, and time-management skills.
  • High level of professionalism, discretion, and customer service.
  • Ability to multitask, prioritize, and work both independently and collaboratively.
  • Teamwork & Adaptability: Demonstrates a collaborative mindset with the ability to work effectively in a team environment. Flexible and adaptable in response to shifting priorities and demands.
  • Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Eagerness to learn and adopt new technologies is essential.
  • Effective Communication: Communicates clearly and professionally in both verbal and written formats. Selects appropriate communication styles based on the audience and situation, delivering concise, logical, and accurate information.
  • Client and Service Focus: Demonstrates a strong service orientation by actively listening and anticipating the needs of attorneys and clients (internal and external). Remains calm under pressure and effectively prioritizes multiple competing tasks. Understands firm resources and directs inquiries appropriately.
  • Interpersonal Skills: Approachable, dependable, and professional. Builds positive relationships with colleagues and contributes to a supportive, team-oriented work environment. Effectively leverages available tools and resources to complete assignments efficiently.

 

The estimated base salary range for this position is $63,000 to $68,000 at the time of posting. The actual salary offered will depend on a variety of job-related factors, including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location, and performance. This role is non-exempt meaning it is overtime pay eligible.
