The Office Operations Clerk is essential in facilitating office and building services. This position involves providing comprehensive administrative assistance, which includes drafting communications, coordinating meetings, and managing special projects. Additionally, the Office Operations Clerk will handle mail scanning tasks, which encompass receiving mail and packages from various carriers, sorting them by department, and delivering them accordingly. Responsibilities also include maintaining records of incoming and outgoing mail, tracking packages, processing outgoing mail and packages—this involves weighing, calculating postage, and affixing labels. The clerk will utilize postage meters and other mailroom equipment, arrange pickups from postal services and delivery vendors, and keep an inventory of mailroom supplies such as envelopes, stamps, and packaging materials. Other duties include conducting mail sweeps, removing items from the shred bin, and delivering to the passport office. This role requires strong writing and communication abilities, meticulous attention to detail, the capacity to lift and move objects weighing up to 50 lbs., and outstanding customer service skills.

 

Position: Nonexempt

 

Regular Hours: 12:00 pm - 8:00 pm Monday - Friday, with occasional weekends and hours outside of normal business hours required

 

Reports to: Office Operations Manager

Responsibilities

  • Receiving: Accepting mail and packages from a variety of carriers.
  • Sorting: Categorizing mail and packages based on department, recipient, or priority.
  • Delivery: Distributing mail and packages to the appropriate departments or individuals.
  • Record Keeping: Keeping detailed records of both incoming and outgoing mail, which includes tracking packages and noting their arrival times.
  • Misdirected Mail: Managing and redirecting mail that has been sent to the wrong address.
  • Outgoing Mail & Packages:
  • Preparation: Getting outgoing mail and packages ready for dispatch, which involves weighing, calculating postage, and affixing labels.
  • Postage: Utilizing postage meters and other mailroom tools.
  • Shipping: Coordinating pickups with postal services and other delivery providers.
  • Mailroom Operations:
  • Inventory: Keeping an inventory of mailroom supplies, including envelopes, stamps, and packaging materials.
  • Organization: Ensuring the mailroom is clean, orderly, and well-stocked.
  • Other duties as assigned

Qualifications

  • High school diploma or equivalent
  • Experience in law firms preferred
  • Ability to communicate and work with all levels of firm personnel
  • Exhibits a strong attention to detail and ability to thoroughly complete tasks with minimal direction
  • Demonstrates a strong work ethic and “can-do” attitude
  • Is flexible and adaptable to changing priorities

 

Skills and Abilities:

  • Technology: Proficient in the technology and software used at the firm. This includes, but is not limited to, Microsoft Office Suite, time entry software, Outlook, Workday, iManage and Cleary360
  • Communication: Is able to receive, process and deliver accurate verbal and written messages in the correct manner, chooses the appropriate communication style for the situation and conveys information clearly, concisely and logically
  • Service Orientation: Actively listens, anticipates and proactively attends to team members’ and other employees’ needs in more than just a transactional way, is knowledgeable of where to direct questions/concerns, works well under pressure and is able to prioritize competing requests
  • Interpersonal skills: Is approachable, dependable, collaborative and professional. Works well in a team oriented environment and is able to leverage resources and tools to accomplish tasks
  • Physical abilities: Ability to lift and move objects up to 50 lbs. in weight

 

The estimated base salary range for this position is $40,000 to $45,000 at the time of posting. The actual salary offered will depend on a variety of job-related factors, including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location, and performance. This role is non-exempt meaning it is overtime pay eligible.
