The Alumni Relations and Career Services Assistant is responsible for supporting the department of Alumni Relations and Career Services in coordinating with all 16 offices and engaging the network of over 7,200 alumni worldwide as well as enhancing the career development of associates and alumni.

Responsibilities

  • Support all members of the Alumni Relations and Career Services team and collaborate with all departments and constituencies to promote clear communication, steady workflow and shared knowledge on projects and initiatives.
  • Alumni Event Planning Support
    • Create and manage event-specific folders and track RSVPs
    • Support individual follow up and communicate internally
    • Share CLE approved materials, manage and record attestation forms and create/distribute CLE certificates
    • Input post-event information into database
    • Assist with event details including reserving space, coordinating swag, reviewing nametags, working registration, etc...
  • Alumni Database Maintenance and Alumni Engagement Support
    • Update alumni contact information and share relevant news internally
    • Assist with contact information lookup and dissemination when requested
    • Perform targeted alumni searches and pull lists of alumni for senior lawyers, business development and ARCS
    • Maintain list of potential alumni speakers and potential interviewees
    • Assist with alumni spotlights
  • Alumni Website and Social Media
    • Manage the alumni website and provide ongoing training and maintenance for the platform, prepare the monthly digest
    • Register new alumni and Cleary personnel accounts and introduce departing associates from all offices to the alumni website during exit interviews, update when needed
    • Post content to alumni website including news, events, jobs and resources
    • Coordinate with Marketing and Communications for production and dissemination of alumni spotlights
  • Farewell Process
    • Schedule and perform farewell chats and network introductions with departing lawyers globally
    • Organize associate farewell dinners
    • Research potential venues with private rooms in NYC
    • Track RSVPs, facilitate follow up and reminders
    • Manage and regularly update intranet pages and files
  • Career Services Support
    • Post job opportunities on alumni website and in alumni LinkedIn group
  • Budgetary Assistance
    • Provide primary support in accurately recording and tracking departmental expenses
    • Process payments and reconciliation through firm expense system.
  • Presentations:
    • Assist with informative departmental presentations for internal groups – partners, associates, legal executive assistants, office managers and the global Business Development group.
    • Collaborate with presenters on content creation and handle logistical presentations details
    • Design slide decks for internal and external presentations
  • Think ahead to preempt any deadlines for upcoming events/projects to support the Director and Manager of Alumni Relations
  • Other duties and responsibilities as assigned

Qualifications

  • Bachelor’s degree
  • One to three years of experience (can include internship, externship or fellowship)
  • Strong attention to detail
  • Excellent computer, writing and communication skills
  • Professional demeanor, client service orientation and strong emotional intelligence
  • Discretion in handling sensitive material
  • Creative approach to problem solving
  • Excellent organizational skills
  • Demonstrated initiative and critical thinking skills
  • Ability to organize projects and to follow through to completion
  • Ability to multitask
  • Ability to work independently and as member of a team
  • Familiarity with Microsoft Office Suite including Word, Excel, Powerpoint, Sharepoint
  • Flexibility to work overtime, especially for evening events
  • Inquisitive mind and the desire to learn and gain experience
  • Positive attitude and enthusiasm in contributing to the department’s overall success

***The expected start date for this position is early June 2025.

 

The estimated base salary for this position range is $65,000 at the time of posting. The actual salary offered will be determined based on various job-related factors, including skills, education, training, credentials, experience, the scope and complexity of role responsibilities, geographic location, and performance. This is a non-exempt role, meaning it is eligible for overtime pay.
