Overview

The Practice Operations Manager ("POM") is expected to provide significant operational support and organizational efficiency to the firm's Litigation Practice Group working closely with the Practice Group Leaders (“PGL”) to manage the business, operations and administration of the PG.

 

The POM is expected to take a pro-active role in all aspects of coordination, operations and management of the PG, acting in a Chief of Staff capacity for the PGL(s) and working seamlessly with the other senior support professionals within/around the PG in order to create a comprehensive support infrastructure for the PGL(s) and the PG at large.

Responsibilities

  • Whenever possible, handle issues/matters independently in order to ensure that the PGL(s) can spend the majority of her/his/their time leading the PG and continuing to practice law. Further, the POM is expected keep important and time-sensitive items on the radar of the PGL(s) while keeping less pressing items off the radar of the PGL(s).
  • “Connect dots” and synthesize information/data in order to: a) provide value-added context and “color” for the PGL(s) so that decision-making and forward motion are less time-consuming; and b) put only useful/actionable information in front of the PGL(s).
  • Act as the “keeper” of information related to all on-going and in-flight issues/items/projects; keep all moving forward and push other people/teams inside and outside of the PG as needed in order to do so; keep PGL(s) apprised of status of all issues/items/projects.
  • Continuously help the PGL(s) prioritize their time with a particular focus on leveraging it by handling items/issues/projects/meetings in their stead, fully or in the first instance.
  • Keep meetings efficient by gathering information, agendas and materials ahead of time and distilling information for the PGL(s), and by ensuring that other meeting attendees/stakeholders are as prepared for meetings as possible.
  • Stay apprised of developments in other PGs and across the firm in order to distill what may be important/useful to the PGL(s); share information with PGL(s) in an organized, streamlined and judicious manner.
  • Serve as key point of contact for the PG on behalf of the PGL(s).
  • Draft and/or coordinate the drafting, finalization and distribution of PG communications on behalf of the PGL(s) as needed.
  • Help the PGL(s) optimize the profitability and business aspects of the PG by reviewing and helping to analyze financial information; keep apprised of activity and timekeeper utilization levels in the PG; help the PGL(s) consider alternate staffing and pricing models in order to improve profitability when necessary.
  • Work with the Business Development professionals and the PGL(s) as needed on business development activities and keep the PGL(s) updated on “the pipeline” of incoming new legal work.
  • Help assess the technology needs of the practice group and engage the IT department for assistance with evaluating tools/software, ROI and enterprise-fit.

Qualifications

  • Bachelor’s degree required. JD or MBA preferred.
  • A minimum of 5+ years of experience influencing and working closely with executive level leaders
  • Ability to develop effective partnerships across disparate groups to organize and facilitate decisions and ensure implementation
  • Ability to work strategically and collaboratively across PGs and other departments of the firm
  • Impeccable managerial, organizational and interpersonal skills
  • Exceptional written, presentation and verbal communication skills
  • Reasonable level of financial literacy and numeracy, and comfort analyzing data/metrics
  • Excellent demonstrated judgment and diplomacy in working with diverse groups to address complex issues
  • Unquestioned integrity and discretion
