This individual will support the Benefits team in all administrative tasks related to benefits programs and enrollments for lawyers and professional staff.
General administrative support including but not limited to answering phones and screening calls, filing and maintaining documents, organization of file room, sorting and distribution of all incoming mail, conference room reservations and logistics, etc. as well as assisting with directing questions to appropriate parties in the Benefits team.
Assist in the on-boarding process of new lawyers and professional staff and ongoing enrollment activities, including but not limited to creating orientation packages, annual open enrollments, qualifying events, etc.
Maintain and organize life insurance beneficiary designations and enter/update into HRIS
Assist with HRIS data entry related to benefit plan enrollments for new hires, terminations, changes, and beneficiary designations.
Assist with data entry to various insurance carriers’ web portals, maintenance and organization of beneficiary designations, life insurance policies, and electronic documents posted on the firm’s Intranet.
Prepare and send out COBRA packages to terminating employees; track participants and maintain log of monthly premium payments and activity.
Prepare and send out required DOL disclosure materials to new hires applicable to COBRA, ACA, HIPAA, SER, CHIP, USERRA, Medicare Creditable Coverage, and other DOL-required notices and maintain log to document mailing
Assist Benefits Manager with Corporate Wellness events and projects.
Assist benefits team with ad hoc projects as needed.
2+ years of administrative assistant experience in a fast paced environment, preferably financial services or legal industry
Excellent interpersonal, client service, and written and verbal communication skills
Exercises good judgment, has excellent organization skills, and strong attention to detail
Ability to multi-task and prioritize numerous responsibilities
