    We seek a full-time professional assistant to provide efficient and responsive administrative and clerical support to attorneys. Duties will include telephone coverage, calendar management, expense reporting, meeting and travel planning, file maintenance, faxing, scanning, correspondence drafting, and other duties as assigned. Successful candidates will be self-motivated, proactive, discreet, organized, detail oriented, tech savvy, adept at anticipating the needs of assigned legal staff, and capable of exercising good judgment in a variety of situations.

     

    Position: Nonexempt

     

    Regular Hours: 9:30 a.m. to 5:30 p.m.

     

    Reports to: Administrative Director and Assigned Legal Staff

     

     

     

    Responsibilities

     

    • Performs general administrative duties in accordance with Cleary Gottlieb's SPIT (Secretarial Procedures, Information & Training) Guide, including answering phones lines; filing; receiving visitors; preparing correspondence and documents; maintaining records; managing calendars and schedules; and preparing reports
    • Maintains familiarity with legal terminology, standard legal forms, procedures and processes
    • Acts as a liaison and serves as an ambassador of assigned staff, handling calls, visitors, clients and all situations with discretion, diplomacy, enthusiasm and appropriate urgency
    • Coordinates meetings, calls and events including all logistics (scheduling, catering, preparation of meeting materials, etc.)
    • Handles complex worldwide and domestic travel arrangements
    • Other administrative duties as assigned

     

     

    Qualifications

     

    • Bachelor's degree and/or equivalent experience required
    • Prior administrative or executive assistance experience in a professional services environment preferred
    • Ability to type 65wpm
    • Strong computer and word processing skills including proficiency in Microsoft Word, Excel, PowerPoint and Outlook
    • Strong attention to detail
    • Strong oral and written communication skills
    • Strong interpersonal skills and the ability to build and maintain relationships with stakeholders, including assigned attorneys, clients, vendors, other external parties, and firm personnel
    • Flexible nature and ability to work overtime associated with providing support to assigned legal staff as well as the office at-large
