We seek a full-time Human Resources and Talent Specialist to provide responsive, efficient, and inspired subject matter expertise and support with a focus on professional staff talent acquisition and employment administration. Through effective collaboration with hiring managers, vendors, and internal teams, the incumbent will source, evaluate, place, and onboard a highly qualified, diverse pool of candidates in regular and contingent opportunities to include all professional staff in administrative departments, staff and project attorneys, and interns excluding department heads, managers, and supervisors. In addition to coordinating the professional staff talent acquisition processes, the incumbent will coordinate the professional staff onboarding processes, support the Legal Personnel Department attorney onboarding processes as necessary, assist with employment updates for current employees, serve on the Human Resources Cleary Works WELL Wellness Program team, assist with the coordination of retention and morale building programs, and support special projects and initiatives as needed. Successful candidates will have strong general HR subject matter knowledge, demonstrated recruiting experience and results, excellent interpersonal skills, a strong customer service orientation, excellent written and verbal, a knack for serving as an ambassador of the organization, and a comfort level working in a fast-paced, dynamic environment.

  • Partners with professional staff hiring managers and supervisors to identify and attract the best talent for direct hire, temp-to-hire, and temporary needs by initiating meetings to discuss open position needs/requirements, candidate selection criteria, interview process, and recruiting strategy leveraging best practice sources and technique
  • Coordinates the core professional staff recruiting process including:
    • writing and editing position advertisements
    • posting internal and external vacancy announcements and advertisements
    • performing initial review of resumes and then routing and printing resumes
    • performing telephone screens
    • scheduling phone, video, and in-person interviews
    • coordinating interview logistics, including booking conference rooms, gathering interviewer availability, assembling interview agendas, arranging for video conferences, notifying building management and security of visitors, and arranging for candidate travel and accommodations
    • distributing interview packets
    • administering pre-employment testing
    • hosting and monitoring interviews to ensure schedule is adhered to and troubleshooting when conflicts arise
    • interviewing and evaluating candidates
    • collecting interviewer feedback
    • facilitating discussions to draw out meaningful and objective interviewer feedback and assisting with candidate selection
    • making salary recommendations, in consultation with the Manager of Professional Staff Talent and Engagement
    • obtaining offer approval from the Administrative Director
    • preparing offer letters for the Manager of Professional Staff Talent and Engagement and producing other correspondence
    • extending approved offers on behalf of the Firm
    • initiating reference, conflicts, and background checks
    • discussing and reviewing reference, conflicts and background check data and reports with the Manager of Professional Staff Talent and Engagement
    • maintaining applicant information and workflow in the applicant tracking system
  • Registers the Firm for offsite recruiting events such as consortiums and on-campus interviewing, as appropriate, and attends as Firm representative
  • Collaborates with the Practice Manager in Discovery & Litigation Technology to recruit temporary project attorneys on an ongoing basis, as needed, and to coordinate twice yearly staff attorney recruiting cycles, including:
    • positing positions
    • updating and distributing candidate questionnaires
    • preparing interview binders
    • scheduling and participating in panel interviews
    • discussing candidates
    • preparing offer letters for signature
  • Maintains staffing and recruiting firm files and agreements, prepares engagement letters to initiate searches, develops and maintains relationships with preferred staffing partners, and proposes new staffing partner relationships to ensure the Firm is working with best-in-class outside recruiters
  • Proposes new strategies and techniques to meet the changing needs of the market for talent and to drive continuous improvement of the recruiting process to the Manager of Professional Staff Talent and Engagement and the Director of Human Resources
  • Administers the employee candidate referral program by monitoring incoming employee referrals, flagging referral candidates, verifying that candidates meet referral program guidelines, following up with employees about any referrals they’ve submitted, and requesting referral one-time payments
  • Coordinates the onboarding activities and set-ups of new and transferring employees, including scheduling orientation, training and job-specific meetings, calendaring new employee monthly HR check-ins and three-month evaluations, participating in or handling processing-in meetings, ensuring the collection and forwarding of payroll, benefits, and personnel forms, and answering questions and following up with employees as necessary
  • Verifies I-9 documents to establish employment eligibility of new hires, ensures the prompt completion of Form I-9, maintains I-9 records in HRIS, and reverifies employment eligibility as required
  • Distributes corporate American Express Card applications, processes applications on Amex at Work website, informs applicants of application processing, and assists with corporate card issues such as replacements and name changes
  • Enters and maintains arrival and employee data in HRIS systems with a focus on business processes related to arrivals, transfers, promotions, and tier-class matriculations; creates new people records in Kronos to ensure new employees have proper configuration and/or schedules for time and attendance tracking
  • Coordinates the firm's service award program by calendaring service awards, ensuring service awards appear in the office news, notifying employees of anniversaries and celebration options, requesting checks, planning events, and ordering gifts and flowers
  • Maintains recruiting and general human resources sections of office intranet and external internet sites, in consultation with the Manager of Professional Staff Talent and Engagement and the Director of Human Resources
  • Provides HR and benefits forms to employees as appropriate and upon request and then processes completed forms, submitting to NY Payroll Team or other HR department staff, when appropriate
  • Assists with office event planning, including Staff Appreciation Week, Take Your Child to Work Day, 25-Year Club Luncheon, firm and children’s holiday parties, summer outing, and charity walks and runs
  • Assists with the three-month and annual professional staff performance review process, including setting up processes, collecting and filing completed review forms, and preparing process reports as needed
  • Performs employment verifications in writing after ensuring proper authorization
  • Serves as point person for temps when they arrive at the firm and maintains any temporary contingent worker files
  • Other human resources and administrative duties as assigned


  • Bachelor’s degree required
  • 3+ years of recruiting and administrative support experience in a professional services setting required
  • Excellent interpersonal and client service skills
  • Strong oral and written communication skills, including the ability to communicate effectively with all levels of personnel with tact and diplomacy
  • Excellent organization skills and strong attention to detail
  • Ability to handle confidential information and materials with care and discretion
  • Ability to anticipate issues, take appropriate steps to resolve problems, and act with appropriate sense of urgency
  • Flexible team player with the ability to prioritize among competing deadlines and tasks
  • Flexibility to work longer hours during busy periods to support Firm needs
  • Proficiency with Microsoft Word, Outlook, and Excel required. Experience with Workday and/or iCIMS preferred.
